Purpose of the Job
The Recruitment Delivery Director has full accountability and line management responsibility for country recruitment delivery across all studies, with global oversight when assigned. As Civia’s Subject Matter Expert (SME) for recruitment, they set the standards, frameworks, and operating rhythm for how recruitment is executed across all sites.

They develop and execute study and sitespecific strategies, orchestrating Thrive requirements and every available recruitment channel—community recruitment, data partners, thirdparty vendors, CRC teams, call centres, AI prescreening partners, and direct outreach. They continuously assess the effectiveness of each channel with rigorous ROI discipline and are passionate about identifying new industry opportunities that strengthen Civia’s recruitment advantage.

The Recruitment Delivery Director is explicitly client facing, representing Civia’s recruitment strategy and performance in all forums. They provide sophisticated, forwardlooking reporting on planned versus target performance, including variance analysis, root cause assessments, forecasting, and clear recovery actions.

They also own the responsibility to continually assess ongoing funnel performance, identifying any gaps or underperformance across the lead → prescreen → schedule → screen → randomisation pipeline. They are accountable for defining mitigation strategies and for the full and successful implementation of all corrective actions. This role ensures accountability is deeply embedded throughout the team, with clear expectations and uncompromising delivery standards.

 

Core Accountability

• Own country enrollment performance and screening throughput across all designated sites, ensuring predictable, highvelocity recruitment delivery.
• Set study and sitespecific recruitment strategies and adjust rapidly based on performance signals, funnel data, and ROI.
• Act as Civia’s SME for recruitment best practices, tooling, channel deployment, and operational standards.
• Line manage the recruitment team, including hiring, capability development, objective setting, coaching, performance management, and succession planning.
• Lead the national governance rhythm—weekly and monthly delivery reviews, scorecards, risk discussions, escalations, and structured recovery plans.
• Ensure efficient deployment of all recruitment channels: Thrive, CRCs, community engagement, data partners, AI prescreen vendors, call centres, and direct outreach.
• Provide sophisticated clientfacing reporting of planned versus target performance, complete with forecast, variance analysis, and recovery actions.
• Assess ongoing funnel performance: globally, nationally and at site level and initiate proactive mitigation strategies where necessary, ensuring full and successful implementation of corrective actions across the team.
• Ensure Civia consistently exceeds recruitment delivery expectations, with clear accountability and uncompromising delivery standards across the entire recruitment function.
• Evaluate and prioritise new recruitment capabilities, techniques, vendors, and technologies based on ROI, operational impact, and scalability.
 

Key Responsibilities

• Design and operate recruitment strategies leveraging Thrive, CRM systems, AI prescreening partners, callcentre outreach, CRC capacity, community recruitment, and data pipelines.
• Maintain a rigorous daily scheduling and attendance cadence; ensure slot utilisation, reduce DNTs, and optimise conversion to meet targets.
• Own funnel dashboards and KPIs; proactively identify performance bottlenecks and implement corrective actions rapidly and effectively.
• Convert community and datapartner pipelines into scheduled screening visits consistently and predictably.
• Provide expert guidance on targeting, funnel optimisation, participant communication, and screening preparedness.
• Continuously evaluate current and new recruitment capabilities, channels, and tools for ROI and operational benefit; pilot, scale, or sunset based on measurable impact.
• Equip sites, CRCs, and partners with training, resources, toolkits, and clearly defined expectations for recruitment delivery.
• Act as Civia’s recruitment representative in client governance meetings, presenting planned versus target performance with transparency, accuracy, and recovery direction.
• Develop talent across the recruitment function, fostering a strong culture of delivery discipline, accountability, and high performance.

• Enrollment vs commitment (≥100%).
• Conversion performance across the prescreen → schedule → screen → randomisation funnel.
• Screening slot utilisation and attendance (DNT rates outperforming industry benchmarks).
• Recruitment velocity and timetofirstrandomisation.
• Funnel performance stability, variance, and recovery improvements.
• Forecast accuracy and effectiveness of planned vs target recovery actions.
• Speed, completeness, and durability of corrective actions.
• ROI uplift from improved or new recruitment capabilities.
